Dispatch software is the single largest operational lever a NEMT provider has. Move a fleet from spreadsheets to a real platform and gross margin usually improves 5-9 points inside a year — from tighter routes, faster claim submission, and fewer late pickups. Here is what actually matters when comparing vendors.

Non-negotiable features

  • Driver mobile app with turn-by-turn, signature capture, and offline mode
  • Real-time GPS breadcrumbs stored for at least 90 days for audit
  • Automated route optimization that respects appointment windows and vehicle types

  • Credential expiration tracking for every driver and vehicle
  • Configurable trip-verification workflow with photo capture

The 'AI dispatching' question

Every vendor now claims AI. Ask what problem it solves: does it re-route a live driver when a hospital delay pushes a return trip 40 minutes later, without pulling him off the next pickup? Does it predict which trips are highest cancellation risk so dispatch can double-book safely? If the demo can't answer, it's marketing.

Total cost of ownership

Vendors quote per-vehicle or per-trip pricing. Add: implementation ($5K-$25K), broker EDI setup fees ($500-$2K per broker), driver-app data plans, and the internal ops time to migrate credentials and standing orders. Budget three months for a real cutover.
